2025 Volunteering Sign-Up Info

Before Signing-Up:

  • Be 13 or older (16+ if volunteering for “Delivery Driver”)

  • Fill out application form: https://forms.gle/rwWCxtCSx4LNRQzv6 (also on website & insta)

  • Be responsible and a good communicator

  • Sign-Up with Volunteering Organization (if obtaining hours for outside organization)

    •  We are dirrectly partnered with Henry M. Jackson high school's Key Club & NHS, but if you are from an outside organization, let us know if you need help validating your hours.

  • Obtain a Food Handler’s License (if volunteering for “Kitchen Assistant”)

    • You can obtain a Food Handler's License through the Snohomish County Health Department by completing interactive video lessons, taking a test, and paying $10 to download your certificate. This certification will last for 2 years and the whole process should take 1-2 hours: https://www.snohd.org/225/Food-Worker-Cards

  • Have a Valid Driver’s License (if volunteering for “Delivery Driver”)

Need to Know Information:

  1. After filling out the application form, you will receive an email with details regarding volunteering important dates. Make sure to read this email carefully.

  2. If you are volunteering for "Storefront & Sales Team", please attend ONE training session to help you prepare to fulfill you role sufficiently. These sessions will be ONLINE. Please watch the video and fill out the attached form to bring to your first shift. 

    1. These training sessions are MANDATORY, as they contain essential information for transportation and the procedure on door-to-door sales. You will recieve volunteering hours for the session you attend.

  3. Please be ON TIME to your volunteering shift. If you aren’t able to be on-time, please contact us digitally and then in-person--when you arrive. Sometimes, if all tasks are done before the end of the shift’s time parameters, you may be released early from a volunteer position. 

  4. Dress Code:

    1.  If volunteering for “Kitchen Assistant”, please make sure you wear clothes appropriate for the kitchen and that you are okay with getting a little dirty. If you have long hair, please wear it up and tidy. Also, please bring a clean apron--if you have one; if you don’t have an apron, we will provide extra aprons. Additionally, we will provide gloves and additional food safety equipment

    2. If volunteering for “Delivery Driver” or "Storefront & Sales Team", please make sure to wear clothes appropriate for interacting with customers. We want to show our customers that we care and are professional, so that they will be more likely to support us again.

  5. Be Responsible:

    1.  Although we encourage you to socialize with other volunteers and members of the executive team, we have strict order and sale deadlines that we need to make. This means that we need you to work hard and use your time well. Therefore, if any volunteers are consistently disruptive, rude and/or slow down our progress, they will receive a consequence. This consequence may be a message to an outside volunteering organization to invalidate hours or the banning of a volunteer from participating in our volunteering sessions. 

  6. Make sure to check-in with us before signing out for a volunteer shift, especially if you are leaving earlier than the end of your shift. This is so we know what help we currently have AND so we can communicate the amount of hours you participated to any outside organizations. 

  7. Transportation:

    1. "Storefront & Sales" and "PR & Promoters" 

    2.  For our door-to-door sales, there will be large amounts of walking required, so bring shoes suitable for being on your feet consistently. Volunteers will also be exposed to the elements, door-to-door sales are outside, so please bring suitable clothing for the weather (including umbrellas if needed)

    3.  Additionally, for most door-to-door sales, a means of transportation will be required. We will meet for 10-15 minutes at the Main Kitchen and then commute to a neighborhood location to sale. If you are without a driver's license, please arrange for a parent/guardian to temporarily stay and then transport you to said neighborhood. 

    4. For "PR & Promoters" shifts that indicate promotion at community businesses/locations, we will meet at the area specified on the shift description, NOT the main kitchen. Look for an email that specifies more details. The exception to this is 11/19, the first shift, where we will meet and stay at the main kitchen. This is the date we plan our promotion strategy and contact organizations to get permissions.

  8. Cancellation:

    1.  Sometimes, if help is no longer needed, a volunteering session may be canceled. This will be communicated by email to volunteers and to outside organizations. Two days before your volunteering session, check for an email providing a reason for its cancellation.

    2. If you need to cancel your volunteering shift for any reason, please contact us and--if needed--your outside organization two days prior to the shift.

  9. Communication:

Roles with Tasks:

  • Kitchen Assistant: Interprets recipes, mise en place recipes, makes cookie dough, makes homemade hot cocoa, makes confections, and shapes & bakes cookies

  • Packager/Handler: Packages baked goods, creates displays for door-to-door & Hot Cocoa Day sales, and packs up orders

  • Public Relations & Promoters: Creates digital and physical content (posters, TikTok videos, infographic posts, etc) to promote the sale. Additionally, this team will go around to community businesses and organizations to promote the sale & hang flyers.

  • General Help: Helps with inventory, cleaning/organizing the kitchen, preparing our donation to Cocoon House, calculating sale reports, and other organizational tasks

  • Delivery Driver: Delivers complete orders to customers in the community

  • Storefront & Sales Team: Our customer service experts! Sells products to customers door-to-door, at community location, at our Hot Cocoa Day, or even at Henry M. Jackson high school.
